| AGM 1999 Initial Report |

Copies of the Income & Expenditure Account were distributed.
Jonathan thanked the previous Treasurer (John Munday) for his hard work.
The excess of income over expenditure was £326.12, mainly due the fact that the club didnt purchase any clothing this year. Clothing stock at present being 5 tracksuits (available at £52 each), 13 vests (£13.50) & 15 T-shirts (£8). In addition the club has recently ordered 16 ladies vests recently.
The Subscriptions were slightly up on last year and we currently have 70 male, 28 female & 6 junior members.
Events There was no Fun Run this year so donations had decreased and the Sports Day made less profit too. There were two Three Day Events in the year so the £63 income includes both events. The Relay Marathon income was only £204 despite there being 21 teams. This was due to some of members failing to pay their entry fee for the event. However Phil has recently received a further £2.
We donated £200 this year (Windlesham Field - £30 and £170 to charities to be nominated by the winning team & the Brickmakers Arms).
The Presentation Dinner broke even with 50 tickets being sold.
The Net worth of the club at year end being £1019.17
Tony Sheridan asked about the trophy insurance - It was confirmed that the trophy insurance payment was unchanged from last year at £26.
The members were informed of the resignations of both Captains (Mike Blake & Wendy Davies). There was a vote of thanks for them.
Position Nominated Members
As there were no nominations for Vice-Captains it was proposed that all seven General Members be accepted and vice-captains selected from those seven at the next committee meeting. This was proposed by Wendy Davies & seconded by Bob Tyler.
Chris Peppiatt asked about the proposal of Chairman It was pointed out that the Chairman is nominated at the next committee meeting and could be any of the committee members.
It was noted that Amanda Haigh had resigned from the committee
- Proposal by the Committee - To introduce a rejoining fee
Reason: The committee feels that it is necessary to impose an additional fee to cover the costs of continuing to remind members to pay their subscriptions. Hopefully this will result in quicker payments, fewer reminders sent and fewer failures to resign from the club. In addition there have been several instances when members had continued to enter races declaring to be Windle Valley members when their membership had elapsed.
Mark Coxhead pointed out that his other club Chris Lane Cruisers have also discussed the problem about runners declaring to be a member of a club when they havent paid a subscriptions.
Tony Sheridan asked if the proposal could change from six to two months Carl pointed out that Association rules dictate that a member has six months to pay.
Colin Woods stated that a member could win a championship prize, and accept it without rejoining the club. This was noted as a potential problem.
To be included in club rules:
"Any member who pays their subscription more than six months after the due date (31st August) is liable to pay an additional fee equal to their membership fee. However, this does not apply if the member resigns in writing and wishes to rejoin at a later date".
The members agreed with the proposal
Carl summarised the results: 32% of the club returned a completed questionnaire. Presentation Evening 56% could not attend due to a prior commitment. 56% thought the meal was average, 19% average to excellent, 25% excellent. 38% thought the venue was excellent, 50% average to excellent. 50% thought the service was average, 38% average to excellent. 44% would pay between £12 to £15, 26% - £15 to £18, 13% would attend at any cost! 10th Anniversary Function 68% would like to attend. 68% would pay up to £10 per person. Lightwater Sports Centre 24% would like join. 60% would like to do fitness training. Ramblers Walk 64% were interested in a Club Walk. It was noted that the walk organised by Bob Allan
& Les Henderson was well attended and enjoyed by all.
Camberley replacement
Members were asked for any suggestions for a suitable replacement for the Camberley Half Marathon in next years club championship. It was likely that Camberley will not take place.
Basingstoke, Slough & Kingston were mentioned. Committee to discuss at next meeting.
Ladies Championship feedback
The response to Wendys letter to the lady members was inconclusive regarding changing the championship to be identical to the Mens. Further thought/consultation required.
Peter Tiners proposal
Peter had proposed to the committee that a members London Marathon could be entered as a championship entry instead of the three or five event format. The committee had discussed this on several occasions and had the following reasons against the proposal.
(Events spread throughout the year).
Carl stressed the importance that our own club events must be supported by the members if they are to continue. Members could participate, marshal or officiate. We have already stopped organising the Fun Run and with only 12 members attending the 10th Anniversary Sports Day this event is in doubt too. Our best supported event is the Relay Marathon (21 teams this year) but with BOC leaving Windlesham its future isnt assured either.
Wendy thanked the top table (Barry, Jon, Carl & Mike) for their efforts in organising the AGM.
She also took the opportunity to encourage members to take part in club events as those that attended the Sports Day really enjoyed it. Wendy also thanked Chris Peppiatt for her efforts and Phil Morley for producing the website.
Wendy summarised the changes to Winter Training. This included circuit training, track training and runs at Windlesham, Lightwater & Camberley. The venues would rotate on a monthly basis. Circuit training would cost £4 per session for non-members. Kevin Pedley asked about membership there were several options available. Both the circuit training and the Windlesham run give members a chance to visit the bar afterwards. The Woking track session is suitable for all levels. Mike Blake pointed out that the Sunday runs would continue at Blacknest Gate. Carl stated that the 10k handicaps would also continue. The Last run of the year might take place on Bank Holiday Monday due to the Pram Race being on the Sunday.
Mike thanked the committee and members for their support. He has enjoyed his time as Captain.
The new Winter Training schedule was varied and exciting so please make an effort to support the new format. Mike noted that training hadnt been well supported earlier this year but that hopefully this should improve. Mike will continue to look after race forms until someone else would like to take over this role. Mike praised the newsletter & website stating that we get good value for £5. The club does extremely well in local events and up until this year (when we fielded balanced teams), we have done very well in the Relay Marathon. It was also good to see a ladies team in the relay this year.
